What a board actually needs to see
The difference between a vendor a board keeps and one it replaces is rarely the cleaning. It is whether the manager can answer a question at a meeting without making a phone call first. Three things make that possible, and all three belong in the contract rather than in a habit:
- A per-visit service log. Date, areas serviced, and anything found and reported. Boring, and the single most useful document in the relationship.
- Photo records for periodic work. Quarterly and annual tasks are the ones nobody witnesses, so they are the ones that need evidence attached.
- A named contact and a defined response window. When a resident reports something in a shared space, the useful question is not who to call but how long it takes.
Scoped separately from the rest of our commercial work
Association common areas sit between residential and commercial cleaning and behave like neither. The traffic pattern is residential — the same people, every day, at the same hours — but the buyer, the documentation, and the approval process are commercial. For a standard commercial building on a written scope of work, start with janitorial services. For a leasing office or on-site management suite, that is office cleaning. Individual units are residential work and are quoted per unit under recurring house cleaning or move-out cleaning.

Who is this for — the board or the management company?
Either, and usually both in sequence. A community manager typically collects proposals and a board approves the contract, so the scope has to survive being read by someone who was not at the walkthrough. That is why every line has a frequency attached and every area is named as it appears on the site plan rather than described.
How often should common areas be serviced?
It varies more by building type than by unit count. A single-entry mid-rise with an elevator lobby, a mail room, and a fitness room usually needs daily or near-daily attention to those three and weekly for everything else. A garden-style community with open breezeways and a detached clubhouse can often run two or three days a week, with the pool restroom on a higher frequency through the summer than the rest of the year.
Do you document what was done?
Yes, and for association work it matters more than for any other client type, because the person paying is a board that was not there. A service log per visit and a photo record of periodic work gives a manager something to attach to a board packet instead of relaying an assurance secondhand.
Does this include landscaping, pool service, or trash hauling?
No. This is interior and hard-surface common area cleaning. Landscape maintenance, pool chemistry and equipment, pest control, and waste hauling are separate trades with their own licensing and their own vendors. We clean the trash room; we do not haul the bins.
Can you cover a specific event or a one-time need?
Yes. Post-event clubhouse cleaning, a clean after construction or a unit renovation in a shared corridor, and seasonal amenity resets are all bookable as one-time work without a standing contract.

- Send the basics. City, bedrooms, full and half bathrooms, and whether you want recurring, a one-time deep clean, or a move-out.
- We come back with a flat per-visit price. Not an hourly rate that moves, and not a range that resolves itself on the day.
- Pick a day and a cadence. Weekly, biweekly, monthly, or one time only. Change or pause it later without a penalty.
First visits often take longer than the ones that follow — a home coming off a long gap needs catch-up work before a routine rhythm makes sense. If that is your situation we will say so in the quote rather than discovering it in your driveway.
